The Accounting/HR Specialist will be the first point of contact for families. This person will also manage our reception area and phones as well as our child care enrollment process. Additionally, the incumbent will manage the back office administrative processes that keep the program running smoothly including payroll, human resources, benefit administration, billing, and accounts payable and accounts receivable. The successful candidate will feel a sense of ownership for their responsibilities, be resourceful and able to work independently, manage multiple processes simultaneously, be observant and take initiative where help is needed and deliver the highest level of customer service. This position will report directly to the Business Manager and will work closely with the Executive Director, administrative team, and teaching staff. They will also have significant exposure to young children, families, and teachers. Familiarity with and/or teaching certification with young children through the Department of Early Education and Care would be a huge benefit in this role.
The Accounting/HR Specialist will:
Manage tuition billing and collection process. Issue invoices and monitor receipt of amounts charged to families. Answer questions regarding payments when necessary. Provide billing updates/summaries to families as needed.
Manage accounts receivables, including tracking past-due accounts.
Manage accounts payable. Verify amounts due, prepare checks in a timely manner and update Quickbooks. Reconcile receipts to the credit card bills. Follow up on any issues.
Lead cash management including depositing checks and managing petty cash accounts. Prepare bank reconciliations monthly in Quickbooks. Manage transfer of funds and accurate recording of donations from FlipCause.
Administer bi-monthly payroll and communicate to Paychex. Manage paid time off tracking, FSA accounts, and payroll deductions. Ensure accurate and timely entry to Quickbooks.
Assist Business Manager and Executive Director in preparing for the annual financial audit.
Manage all benefits administration including TIAA retirement plan for 65 employees.
Work closely with teachers and Executive Director to provide employee relations support and strategy.
Lead the reception team, providing excellent customer service to current and interested families.
Administer Worker’s Compensation claims and FMLA leaves in accordance with state and federal guidelines.
Update all government forms such as tax-exempt status, census, and 1099 forms as well as distributing W-2s.
In conjunction the Early Childhood Program Director, lead the enrollment process.
This includes intake of applications, maintenance of a waitlist, management of the January and March re-enrollment processes, and ensuring all policies regarding enrollment and College priority are communicated and implemented consistently across all families.
Assist in coordinating visits for new and potential families and participate in seasonal evening enrollment tours.
Assist with the completion of parent contracts, including their creation, distribution, and collection.

Minimum qualifications or experience:
Experience with accounting, human resources, and benefit administration
3+ years’ experience in a similar role
Able to successfully complete a background check
A flexible workstyle, which may require assisting in areas outside of defined job description
B.A. in Accounting or Human Resources
Experience with Excel and Quickbooks
Experience working in a mission-driven environment, preferably with children and families. EEC certification a plus.
